POSITION / PURPOSE:
Manage the day to day operations of an assigned commercial and condominium portfolio of properties.
PRINCIPAL JOB ACTIVITIES:
Implementation and supervision of the property operations strategy for maintaining and improving the property's physical condition and appearance, cleanliness, public safety, and tenant service while meeting property budget and financial objectives.
Effectively represent owners in the day to day operation of the property.
Prepare, implement and monitor the Owner approved annual budgets and business plan to meet Owner objectives.
The budget is to include capital improvements and an annual marketing budget.
Handle accounting and financial responsibilities, including collecting delinquent rent and sales reports; reviewing, coding, and approving invoices; preparing monthly reports; verifying financial reports for accuracy; assisting the Portfolio Manager with property tax appeals and ensure tenant annual rebilling's are processed accurately.
Assist the leasing department with lease renewals and leasing of all vacant space.
Maintain immaculate vacant spaces for showing.
Prepare monthly manager's report; maintain effective communications with Portfolio Manager; maintain appropriate documentation of critical items.
Develop and implement the effective marketing of the center and favorable public relations with the main objective of increasing tenant sales throughout the center.
Maintain the building and property management filing systems, insurance claims, tenant handbook, building FF&E inventory and emergency phone lists.
Prepare tenant commencement letters, administer tenant move-in and move out forms, and manage move-ins and move-outs of tenants.
Keep tenants informed of all activities/events which will affect the buildings (fire alarm testing, HVAC preventative maintenance, etc.
).
Review and act on tenant work orders/complaints.
Respond to tenant concerns including janitorial, engineering, security, landscaping, etc.
Review leases, renewals, amendments, etc.
, to enforce and manage leases.
Enforce maintenance and lease requirements imposed on tenants through written and verbal communication with property level and regional level store contacts.
Provide 24-hour direction to vendors and maintenance employees as needed when addressing concerns related to the buildings.
Coordinate and oversee tenant construction and capital renovations to the property.
Prepare contracts and manage capital improvement programs as required.
Supervise, hire and train any on-site maintenance employees; and hire and supervise outside service vendors as needed and budgeted.
Respond to and manage security and safety related concerns/issues.
Prepare, maintain and implement emergency plans and handbooks.
Maintain and nurture relationships with tenants, owners, and co-workers.
Maintain and nurture good relationships with local governmental authorities and assist with code compliance issues.
Manage building promotions and holiday decorations.
Administer and maintain all service contracts:
cleaning, waste removal, exterior landscaping, pest control, elevator, parking lot sweeping, security guard services, fire suppression system maintenance and inspections, supplies, etc.
and obtain required proof of licensing, tax ID and insurance and maintain records of same.
Attend city and county hearings and review meetings; tenant organization meetings; and/or other public meetings outside of regular working hours as necessary.
PHYSICAL, MENTAL, AND ENVIRONMENTAL CONDITIONS OF THE JOB While performing the duties of this job, the employee is required to move from place to place in the office; and in and around tenant spaces and the exterior of the shopping centers; sit; use hands to finger, handle, or feel objects such as office equipment and.
computers; reach with hands and arms for papers and files; talk and hear.
The employee must occasionally lift and/or move up to 15 pounds.
Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
The employee must frequently drive via vehicle for varying distances.
The employee must regularly walk distances of 1/4 mile or more in varying weather conditions while conducting regular property inspections and in the course of completing daily responsibilities.
Employee may occasionally need to climb ladders or scaffolding during the course of property inspections.
