Miami, FL Miami, FL Full-time Full-time $60,000 - $80,000 a year $60,000 - $80,000 a year WHAT YOU'LL DO As an Executive Assistant, and an Administrative team member, you will execute, through a wide variety of specialized and administrative functions, and work to support your direct manager (or team) through service excellence set by the standards of The S2BN Promise.
Additional Duties:
Acting on behalf of direct manager, answer phones and route calls; provide general information to clients; refer questions and issues to appropriate staff or department for further information and problem resolution Assist teammates; cover other duties during vacations Schedule and set-up internal meetings/conference calls/catering as required May act as liaison for office facilities and maintenance issues May act as liaison for vendors and ensure payment of office-related invoices Order and maintain office supplies and marketing materials Create internal/external correspondence using Outlook and Microsoft Office products (Excel, PowerPoint, Word, etc.
) as well as create correspondence and/or log activities in client management system Ad-hoc reporting/projects Maintain calendar for managers/executives Make routine travel arrangements and complete expense reports Attend meetings on behalf of their executive Coordinate and communicate meetings for internal/external customers in multiple locations Administer independent decision making to schedule or accept meetings on behalf of their executive May manage other administrative staff at discretion of executive Manages executive's day to day affairs by overseeing the calendar and handling conflicts by problem solving and prioritizing appointments.
Coordinate, plan, and execute weekly internal meetings and trainings; prepare material, note taking, and accountable for follow-ups identified.
Plan and manage sales conferences, including securing conference space, lodging, transportation, etc.
Coordinate complex calendars, arrange travel, plan internal/external meetings/events and develop corporate communications.
Orchestrate all aspects of meetings:
travel, lodging, food service and transportation, setting up conference rooms with media and creating communications and support materials (presentations, handouts, minutes and agendas).
WHAT YOU'LL BRING Knowledge of:
Strong oral and written communication skills Adept in technology; Microsoft Office Suite, Outlook, Ultimate Software, Chrome River, Synapsys, etc.
Ability to:
Anticipate needs Stellar time management skills and the ability to identify resources in all areas of the bank Use keen judgement and discretion Multi-task and work independently Perform duties and make decisions under frequent time pressures EDUCATION AND TRAINING Requires an associate's degree, bachelor's degree preferred 3
years of experience supporting a C-Suite executive or team of senior leaders (SVP and above) Requires intermediate (or above) knowledge of Microsoft Office.
