The Assistant Company The Assistant Company Miami, FL Miami, FL Full-time Full-time $100,000 - $130,000 a year $100,000 - $130,000 a year 8 hours ago 8 hours ago 8 hours ago The Assistant Company has been hired by a VIP Miami Executive who requires a full-time Estate Manager / House Manager to act as the family's main point of contact and handle all of the needs of their Miami household.
In this role, you will provide a wide range of support and facilitation to all projects, vendors, and executives.
MUST BE ABLE TO START IMMEDIATELY MUST BE ABLE TO TRAVEL NO PHONE CALLS PLEASE.
Responsibilities:
Serve as principal point of contact and liaison with vendors, contractors, trades, and designers Manage the relationship and communication with the executives, ensuring the project is delivered to their satisfaction Track projects and provide regular reports on project status to the executive team including but not limited to pictures, videos, texts, emails, etc.
Maintain constant communication with Personal Assistants and any other in-house support/staff Assist with hiring process for any external vendors or staff Coordinate with vendors and trades for on-site work Communicate vendor and project agendas to team members and others to coordinate as needed Creating long and short-term plans, including setting targets for milestones and adhering to deadlines Delegate tasks on the project to employees and trades best positioned to complete them Make effective decisions when presented with multiple options for how to progress with the project Serve as point of contact for teams when multiple units are assigned to the same project to ensure team actions remain in synergy Perform quality control on the project throughout development to ensure standards met Adjust schedules and targets on the project as needs or financing for the project change Outline a budget based on requirements and track costs to deliver projects within budget Identify and mitigate potential risks Manage vendor calendars, project calendars Arrange for meetings, appointments and bidding Keep family vehicle(s) in working order and gassed up Handle various shopping or returns upon request Effectively anticipate needs Maintain contact databases, social media and mailing lists and track passwords Keep the property safe through security awareness and sharp observation Facilitate and coordinate all the necessary maintenance work and repairs to ensure appropriate home functionality (i.
e.
touch ups, AC maintenance, pest control services, etc.
) Supervise and coordinate training for all housekeeping crew Requirements while Family is on-site:
(Including the above responsibilities) Provides wide range of support and facilitation to all four family members including, but not limited to the following duties:
Help create a distraction-free, safe environment for the family Cook healthy food when needed Ensure healthy food is on hand Keep the family safe through security awareness and sharp observation Maintain constant communication with Executive Assistants and any other in-house support/staff Drive the family as needed Pick up coffee as needed Serve as principal point of contact and liaison with hotels, travel hosts, pilots Coordinate the domestic staff as needed to arrange schedules and facilitate events and parties Manage family calendars Communicate family agendas to team members and others to coordinate as needed Keep family devices charged, updated and working Effectively anticipate needs Greet guests when they arrive Anticipate family and guests' needs by learning their preferences, allergies, dislikes, etc.
Have a thorough understanding of all spirits and specialty foods in stock Assess and restock wine and spirit collections as necessary Serve meals and pour drinks for family and guests Remain well-groomed at all times Perform all duties with discretion, professionalism and a pleasant demeanor Care of clothing; pack suitcases, fill wardrobes and manage clothing inventory Main point of contact to understand principal's needs and unpredictable situations in the home Ensure day-to-day operations of home are completed as expected and running smoothly Organize the stock for the kitchen and home Arrange social family events as needed Stay abreast of the latest software and security systems Schedule vehicle maintenance as needed REQUIREMENTS:
Experience as a House Manager or similar role for a private family or in the hospitality industry Strong multi-tasking skills Excellent organizational skills Ability to adapt to a fluid environment Commitment to a high level of customer service Strict attention to detail Knowledge of area restaurants, theaters and other attractions Knowledge of food and wine pairings is a plus Associate's or bachelor's degree in hotel management is a plus Valid passport with no restriction on travel worldwide Ability to be available 24/7, including holidays, if needed Trustworthy and able to maintain the utmost confidentiality Tech savvy with Apple/Mac computers and phones Punctual and reliable.
Great judge of character Competent and pleasant, fun to be around for the whole family Non-smoker Zero tolerance for drug use of any kind Excellent role model for children No allergy/aversion to cats Ideal Candidate would have these additional Skills:
Has security/safety/CPR training There will be an in-depth background check and drug testing.
This is a full-time position that requires day, evening, and weekend availability.
